The DocuVANTAGE program has been developed with a proven methodology for saving Enterprise clients money on annual printing and repair expenditures. The program is based on three key steps:
To know where you are going, you have to know where
you stand today. For document output management, this involves
identifying and quantifying
all the direct/indirect costs associated with document output
within your organization.
BMP's Enterprise Management Services
are a comprehensive suite of solutions designed from the ground
up to quickly deliver accurate, dependable data; data that is
needed to gain control over large equipment populations. Our goals
during the Discovery phase are to identify your Total Cost of
Ownership, as well as pinpoint any workflow inefficiencies that
negatively impact your employee's productivity. The steps involved
in a comprehensive BMP assessment include:
| 1. |
Asset
Reconciliation - This involves a physical walk-through
of the facility to locate and record each output device,
its location and current meter reading. Again, you must
have an accurate listing of all output devices to ensure
that all costs are considered. |
| 2. |
Capture
Monthly Usage - In order to identify your true Total
Cost of Ownership, it is imperative that you understand
your company's total output volume. To accurately gauge
the average usage, you should capture the meter reading
of each device in your facility a minimum of two separate
times. Electronic audit and/or print management software
are available to automate this process. |
| 3. |
Determine
End User Needs - Schedule meetings with key departmental
personnel to identify document workflow and any application-specific
needs. |
| 4. |
Determine
Cost of Ownership - Once you have all of the equipment
and volumes recorded, the next step is to determine all
costs associated with ownership. Equipment and supply costs
are the two most obvious; however, there are several other
cost sources that must be included in your assessment. These
include:
| a. |
Maintenance & Repair Costs |
| b. |
Consumable Costs |
| c. |
Delivery/Shipping Expenses |
| d. |
Supply Inventory Carrying Costs |
| e. |
IT/Help Desk Support Costs |
| f. |
Transaction & Administrative Costs |
|
Key information obtained during Discovery
includes:
 |
Program Goals and Objectives |
 |
Device Discovery |
 |
Machine Service Analysis |
 |
Electronic Volume Tracking |
 |
End User Assessment/Surveys |
 |
Over/Under Utilization Analysis |
 |
Cost Assessment |
Again, in many companies equipment purchases are de-centralized,
spanning multiple departments within an organization. Because
of this, organizations not only struggle to keep track of the
equipment population, but also lack an efficient process to track
and allocate costs. These inefficiencies lead to asset under-utilization,
multiple equipment types, expanding vendor lists, supply storage
and management challenges as well as an increase in invoice processing
time. All of these issues ultimately add costs and disrupt core
business processes.
By incorporating leading edge software solutions such as Print
Audit with our own business process improvements, BMP
is able to efficiently collect and analyze a large volumes of
output-critical information while minimizing disruption to our
client's business units.
 |
By carefully analyzing the information obtained
during the Discovery phase,
BMP is able to accurately
identify a company's Total Cost of Ownership while also exposing
productivity inefficiencies in the organization's document output
infrastructure. We then assess alternative workflow scenarios,
equipment feature sets, application needs, and page volumes to
determine the technology and process solutions that will best
optimize the environment, deliver improved productivity and efficiency,
drive cost savings, and yield process improvements throughout
the enterprise.
There are three major factors that must be taken into consideration
in order to determine the optimum device solution for your organization.
These are:
| 1. |
Current & Forecasted Volumes |
| 2. |
Application Needs |
| 3. |
Convenience |
By finding the proper balance between these three factors, the
optimal solution will become apparent.
BMP is armed with many
different tools and strategies for optimizing output environments,
all of which are deployed to address the specific challenges and
opportunities of each individual customer. Standardizing the output
environment by vendor or equipment type, for example, is just
one method that can be employed in the Solution Optimization phase
of a project. The benefits typically associated with this tactic
include:
 |
Reduced IT Support Costs |
 |
Decreased Supply Inventory Carrying Costs |
 |
Minimization of Employee Cross Training |
 |
Increased Employee Productivity and Satisfaction |
 |
Decreased Administrative and Invoice Processing Costs |
Equipment right-sizing, device placement, multi-functional
utilization and automated device monitoring are just a few of
the other strategies available through BMP's Enterprise
Management Services. Fleet and process optimization is
a big part of the savings to be achieved through our program,
and we document these opportunities in our initial assessment
report.
 |
Although Discovery
and Optimization are key
components of the process, Managing
the initial implementation and on-going execution phase are the
most critical. Because the execution of the initiative crosses
multiple organizational boundaries, establishing a cross-functional
project team (consisting of representatives from all of the major
departments or groups impacted by the initiative) will deliver
the best results.
Executive-level sponsorship and
communication are the keys that will unlock the possibilities
and allow the DocuVANTAGE program to flourish within the organization.
Establishing an Executive
Sponsor and communicating
the goals and objectives of the initiative to every employee at
every level is critical and will create the buy-in and cooperation
needed to achieve program objectives. The Executive
Sponsor of the initiative should be involved in establishing
the project team and providing overall direction, guidance and
barrier-breaking needed during the implementation.
Our recommendation is to implement the project in a phased
approach, beginning with a beta test in one of the Executive
Sponsor's departments. This will give the project team the opportunity
to work through any issues or problems with the plan while also
ensuring they have maximum buy-in from the users.
Finally, training should be included in the project plan when
implementing the new solution. This will reduce employees' natural
anxiety to change and improve productivity by ensuring that all
personnel are informed and understand how to best utilize the
technology.
By following these steps, your organization can achieve productivity
and efficiency improvements while also enjoying the benefits of
saving money and driving bottom line profits.
